Aworldwide fitness franchise approached ALTOUR forassistance withprogram logistics for their first ever All-Star Summit to bring together over 200 top Franchisees in Las Vegas, NV for a VIP experience. With a recordbreaking 3-week turnaround time from hotel sourcing to event execution,ALTOUR was able to providea high-touch experience for all those attending the event.

With the short turnaround time there weremany challenges that arose, first and foremost to register, ticket flights and secure ground transportation for all attendees within one week toprovide a seamless experience from arrival to departure. ALTOUR createda simple, professional website to assist withcapturing participants’ travel needs.

The week leading up to the event, the ALTOUR planningteam had fivebusiness days to plan the event before onsiteexecution, each day consisted of multiple planningcalls with the client, hotel, offsite venues,AV partner and DMC partner. With so many playersinvolved in sucha quick turnaround time, it was an all hands-on effortwith leadership, meetingplanners, technology engagement specialists and the participant team all wearing many hats!

Once on site at the event,ALTOUR’s planning team worked with hotel leadership to set expectations and develop a planthat included a quick check-inprocess, having both ALTOURand hotel leadership presence at the frontdesk and creating a high-touch experience for VIPs with separate check-in areas and on demand name badgeprinting at the registration desk.

With 215 people comingfrom as far as Australia, this Las Vegas event kickedoff with a stunning familystyle Welcome Dinner in the Restaurant Districtof the casino property. General Session was set in an intimatelounge-type environment withleather furniture groupings and had full production.Final night was a cirque themed Black Tie Evening Eventwith an off-property nightclub. Closing day wrapped with a pool partyextravaganza, bringing all aspects of Las Vegasinto this event.

The resultsof these effortswas a smooth, elevated attendee experience from arrival todeparture, providing them a VIPexperience all around. The clientwas able to achieve theirgoals with this event and is lookingto host an additional 2-3 All-Star Summitevent’s this yeardue to thesuccess.
